Wedding Coordination &Management Packages

Our wedding coordination and management packages are for those couples who have secured all their vendors, and planned their wedding,  but once their big day finally arrives, would love to be able to relax and enjoy their wedding day, without worry or stress. That's where we come in! We'll provide the extra set of hands that couples need to ensure their big day or weekend flows smoothly and flawlessly, by becoming the point person between vendors,  guests and families, managing everyone's needs, and the timeline for festivities throughout the day.

We'll start working together at least 2 months before your wedding day, which allows us to build and maintain a relationship of trust, define your needs, understand what's important to you and your fiancé, and help bring all those details that you have so meticulously planned, together for your big day. 

We're happy to offer three different coordination and management packages detailed below!

    For this all inclusive package, we'll start working together 6 months prior to your wedding date -​​

6 Months Prior to Wedding Date -

  • Pre-wedding consulting meetings to discuss wedding wish list, details, tasks, etc.

  • Unlimited Email support 

  • Phone support (by appointment)

  • Providing you with access to our Master Vendor List/recommendations (all vendors must be vetted and hired by client)

  • Set priorities, budget, goals, preferences and overall vision for wedding

  • Wedding planning checklists, advice, and helpful hints

  • Collaboratively create timeline and schedule of events for wedding day

  • Confirm vendor responsibilities and services to be provided

  • Guidance with ordering rentals

  • Review all detailed ceremony, wedding party and wedding management forms with couple

  • Review vendor contracts and provide guidance

  • Invitation etiquette guidance

  • Assist with rental order 

3 Months Prior to Wedding Date -

  • be available to consult about DIY elements within your event

  • review of rental order

  • Color Pallet and table set-up guidance

  • Assistance with seating chart and table placement

  • Conference call/video chat with your Officiant

One Month Prior to Wedding Date- 

  • Review and update all wedding details with couple

  • Assistance with RSVP follow up calls (1 hr) 

  • Final vendor confirmation and timeline review 

  • Contact all vendors - introductions & email our timeline to all vendors at least 1 week before your wedding

  • Contact Officiant - review & copy of wedding ceremony

  • verify all vendor arrival times, specific needs and contact information

  • Ceremony review

Ceremony Rehearsal -

  • 2 hours of ceremony rehearsal management -to include final walk-through of all areas, and answer all questions

  • Collaboratively creating a ceremony timeline with your Officiant for your wedding ceremony

  • transport any décor items from the ceremony rehearsal space to storage for safe keeping

  • Provide checklists for the Maid of Honor and Best Man to ensure nothing is forgotten on the wedding day

Your Wedding Day -

  • Two coordinators provide 12 hours of wedding day management 11:00am-11:00pm

  • Provide checklists for the Maid of Honor and Best Man to ensure nothing is forgotten

  • Distribute bouquets, corsages and boutonnieres to the wedding party

  • Pin boutonnieres on the groomsmen/groomswomen

  • We are the onsite point of contact for the couple, wedding party, vendors, families, venue and guests

  • Confirm the set-up for the ceremony and reception sites are set up according to your plan

  • Greet all vendors as they arrive onsite and show them where to set up

  • Give each vendor a copy of the day's timeline and answer any questions

  • Set up auxiliary tables (escort card table/seating chart, card & gift table/ guest book table, cake table, memory table and DJ table.

  • set out any special touches or décor according to your décor plan

  • Keep the couple and the wedding party as close to the timeline as possible throughout the day

  • Arrange for our Signature "15 minutes of Bliss' if desired

  • Ensure your wedding day runs smoothly, and discretely handle any issues that might arise

  • Communicate with all vendors throughout the wedding to ensure everything is on time

  • Cue all formalities including the wedding party and couple for ceremony, and special events at reception, such as toasts, first dance, cake cutting, etc.

  • Distribute gratuities and final payments to vendors 

  • Secure precious items at 11pm, such as gifts/cards, toasting flutes, bouquet, guest book, etc. and put them in a safe, pre -designated area

 Base price $3,200

*​1 hour of post reception cleanup may be added to this package if desired. 

*Mileage will be added to this base price 

*Overnight accommodations will be added to this base price if your venue is more than an hour and 15 minutes from Bangor.

* An additional coordinator will be added to your package if your guest list exceeds 165 ppl., your ceremony and reception are in two separate locations, or your venue is large and spread out. Additional coordinators are at the discretion of Wedding Angel Events.

We'll start working together 4 months prior to your wedding date -  

4 Months Prior to Wedding Day -

  • Pre-wedding consulting meetings to discuss wedding wish list, details, tasks, etc.

  • Unlimited Email support 

  • Phone support (by appointment)

  • Set priorities, budget, goals, preferences and overall vision for wedding

  • Wedding planning checklists, advice and helpful hints

  • Collaboratively create timeline and schedule of events for wedding day

  • Confirm vendor responsibilities and services to be provided

  • guidance for ordering rental items

  • Review all detailed ceremony, wedding party and wedding management forms with couple

  • Review vendor contracts and provide guidance

Three Months Prior to Wedding Date -

  • Review rental order - look for gaps

  • Review wedding coordination form with couple

  • Obtain copy of ceremony from Officiant

  • Set up a conference call with your Officiant to discuss your ceremony 

One Month Prior to Wedding Date- 

  • Review wedding coordination form with couple- ceremony details, wedding party names, reception details, etc.

  • Review and update all wedding details with couple

  • Final vendor confirmation and timeline review 

  • Contact all vendors - email our timeline and all other pertinent information to all vendors at least 1 week before your wedding

  • Verify all vendor arrival times, specific needs and contact information

The Day Before Your Wedding Day - Ceremony Rehearsal -

  • 1 hr. of ceremony rehearsal management 

  • 1/2 hr final walkthrough for you to show us where everything will be located for the next day 

  • Collaboratively creating a ceremony timeline with your Officiant for your wedding ceremony

  • Answer all questions

Your Wedding Day -

  •  10 hours of wedding day management - 11:00pm-9:00pm.

  • We are the onsite point of contact for the couple, wedding party, vendors, families, venue and guests

  • Confirm the set-up for the ceremony and reception sites - check that spaces are set up according to plan

  • Provide checklists for the Maid of Honor and Best Man to ensure nothing is forgotten

  • Set up of auxiliary tables - escort card table, gift & card table, memory table, cake table, DJ table, guest book, polaroid photo booth, etc. 

  • Set out your special décor touches

  • Keep the couple and the wedding party as close to the timeline as possible throughout the day

  • Offer our Signature "15 minutes of Bliss" to couple post-ceremony

  • Ensure the day runs smoothly and without issues

  • Communicate with all vendors throughout the wedding to ensure everything is on time

  • Cue all formalities including the wedding party and couple for ceremony, and special events at reception, such as toasts, first dance, cake cutting, etc.

  • Distribute gratuities to vendors if desired

  • Secure precious items such as gifts/cards, toasting flutes, bouquet, guest book etc. and put them in a pre -designated area at coordinator end time.

Base price $2,500 

*Mileage will be added to this base price. 

* Overnight accommodations will be added to this base price if your venue is more than an hour and 15 minutes from Bangor.

* An additional coordinator will be added to your package if your guest list exceeds 100 ppl., your ceremony and reception are in two separate locations, or your venue is large and spread out. Additional coordinators are at the discretion of Wedding Angel Events.

  • Verify all vendor arrival times, specific needs and contact information

The Day Before Your Wedding Day - Ceremony Rehearsal -

  • 1 hour of ceremony rehearsal management 

  • 1/2 hr. final walkthrough for you to show us where everything will be located for the following day

  • Collaboratively creating a ceremony timeline with your Officiant for your wedding ceremony

Base price $2,100

Special Notes:

  •  Wedding coordinations on Maine Islands are individually priced. 

  •  A professional catering company must be secured for your wedding

  • Wedding Angel Events coordinators do not:​

    • Handle/serve food or alcohol

    • Act as waitstaff, bartenders or caterers

    • Buss/clear tables, scrape/rinse dishes, re-rack rentals 

    • Park cars/direct traffic

    • Handle/use electronic equipment (laptops, cameras, phones, speakers, sound systems, etc. 

    • Act as an MC or DJ 

A La Carte 

Additional special services you may choose to add to any wedding coordination package:

  • Partial Planning services - up to 3 vendors (does not include sourcing a venue) $1,800

  • Decorating services priced per hour @$150/person/hr

  • Additional Coordinators for the Day of your Event ($350.00 + mileage)

  • Rehearsal Dinner Coordination ($800)

  • Engagement Dinner Coordination ($800)

  • Day-after-wedding brunch/breakfast Coordination ($800)

  • Greeting baskets/bags for out of town guests and distribution ~priced per hour

  • Welcome Gifts and Favors~ sourced locally - priced per event

  • Creating and sourcing creative gift bags, baskets, boxes, informational packets and more - priced per hour

  • Bridal Shower Coordination - priced per event

  • Assistance with RSVP follow up calls - priced per hour

"Best decision we made!"

Hiring Ali and Mallory at Wedding Angel Events was the best wedding planning decision that my husband Charlie and I made. They're amazing. As soon as we signed on with them, they sent us their extremely comprehensive Day-Of Coordination doc, which gave us the framework for our event, down to the tiniest, but essential, details. Then, over months of regular phone calls and emails, they expertly guided us through the process of filling it in. It was so helpful to break down the process this way! They also helped us communicate with vendors and navigate some tricky situations. When our wedding weekend arrived, it was so reassuring to go into it knowing exactly what had to be done, when, and by whom.

On our actual wedding day, Mallory was invaluable! She came at 10am and over the course of her 12-hour day, went above and beyond to ensure that everything went according to plan so that all Charlie and I had to do on Saturday was get married, without worrying about any of the other details. We definitely could not have planned or executed our wedding without the help of Ali and Mallory! They saved our sanity and made something that was initially so stressful and overwhelming more manageable. They’re also just lovely people who were a joy to speak with on a regular basis!
