Wedding Management
& Coordination Packages

Our wedding management & coordination packages are for those couples who want to plan their own wedding themselves, but then when their wedding day comes, would love to be able to just relax and enjoy their day with their families and friends, without worry or stress.  That's where we come in!  :)

We specialize in wedding management and coordination, and will provide that extra set of experienced hands that couples need to ensure their wedding day or weekend flows smoothly and flawlessly. Starting two weeks before your wedding, we become the point person between vendors, guests and families. On the day of your wedding, along with many other duties, we'll greet and manage your vendors, see to everyone's needs, manage the timeline, and take care of any issues that may crop up.  Depending upon the management package that best suits your needs, we'll start working together anywhere from 2-6 months before your wedding day, which allows us to build and maintain a relationship of friendship and trust. It will be our pleasure to help bring all those wedding details that you have so meticulously planned together into a final plan for your wedding.

We're happy to offer three different coordination and management packages for your perfect wedding.

Wedding Management  Package
# 3

    As our most comprehensive wedding management package, we'll start working together 6 months prior to your wedding date -​​

​

** This package includes:

  • 1 hr. of ceremony rehearsal management

  • 1/2 hr. of venue walkthrough

  • 12 hrs. of wedding day coordination (10am-10pm) (additional hours may be added)

  • One professional WAE wedding manager

6 Months Prior to Wedding Date -

​

  • Pre-wedding consulting meetings to discuss wedding wish list, details, tasks, etc.

  • Unlimited Email support 

  • Phone support (by appointment)

  • Providing you with access to our Master Vendor List/recommendations (all vendors must be vetted and hired by client)

  • Set priorities, budget, goals, preferences and overall vision for wedding

  • Wedding planning checklists, advice, and helpful hints

  • Collaboratively create timeline and schedule of events for wedding day

  • Confirm vendor responsibilities and services to be provided

  • Guidance with ordering rentals

  • Review all detailed ceremony, wedding party and wedding management forms with couple

  • Review vendor contracts and provide guidance

  • Invitation etiquette guidance

  • Assist with rental order

3 Months Prior to Wedding Date -

​

  • be available to consult about DIY elements within your event

  • create or review your rental order

  • Color Pallet and table set-up guidance

  • Assistance with seating chart and table placement

  • Conference call/video chat with your Officiant

  • Provide checklists for the Maid of Honor and Best Man to ensure nothing is forgotten

One Month Prior to Wedding Date- 

​

  • Review and update all wedding details with couple

  • Assistance with RSVP follow up calls (1 hr) 

  • Final vendor confirmation and timeline review 

  • Contact all vendors - introductions & email our timeline to all vendors at least 1 week before your wedding

  • Contact Officiant - review & copy of wedding ceremony

  • verify all vendor arrival times, specific needs and contact information

  • Ceremony review

Ceremony Rehearsal -

​

  • 1/2 hr. venue walkthrough with you, prior to ceremony rehearsal, to show us where everything will be located for the following day

  • 1  hour of ceremony rehearsal management

  • answer all questions

  • instructions for wedding party for wedding day

Your Wedding Day -

​​

  • Lead wedding manager provides 12 hours of wedding day management 10:00am-10:00pm

  • Distribute bouquets, corsages, and boutonnieres to the wedding party

  • Pin boutonnieres on the wedding party

  • We are the onsite point of contact for the couple, wedding party, vendors, families, venue and guests

  • Confirm the set-up for the ceremony and reception sites are set up according to your plan (we do not set the dinner tables, however will confirm the correct setup with your catering team)  The service of setting the head/.guest tables is available for an additional fee and can be added to your wedding management package.)

  • Greet all vendors as they arrive onsite and show them where to set up

  • Give each vendor a copy of the day's timeline and answer any questions

  • Set up auxiliary tables (escort card table/seating chart, card & gift table/ guest book table, cake table, memory table, polaroid camera table and DJ table.

  • set out any special touches or décor according to your décor plan

  • Keep the couple and the wedding party as close to the timeline as possible throughout the day

  • Arrange for our Signature "15 minutes of Bliss' if desired

  • Ensure your wedding day runs smoothly, and discretely handle any issues that might arise

  • Communicate with all vendors throughout the wedding to ensure everything is on time

  • Cue all formalities including the wedding party and couple for ceremony, and special events at reception, such as toasts, first dance, cake cutting, etc.

  • Distribute gratuities to vendors if desired

  • Secure special items at 9:00pm, such as gifts & cards, toasting flutes, your bouquet, the rest of your cake, & guest book, and put them in a safe, pre -determined area

 Beginning at $3,100

​

*Mileage will be added to this base price 

*Overnight accommodations will be added to this base price if your venue is more than an hour from Bangor.

* An additional WAE manager will be added to your package if:

- your guest list exceeds 90 ppl,

if another wedding manager is needed to handle logistics,

- if your ceremony and reception are in two different locations,

- if the ceremony area is not visible from the processional space, or your venue is large and spread out. 

* Additional hours of wedding coordination are available at the beginning or end of your wedding day at a rate of $300/hr./person

​

**This package does not include:

​

  - coordination of rehearsal dinner or Sunday brunch

 -  setting the guest tables with tablecloths, plates, cutlery and  glasses

- setting up ceremony chairs, reception chairs or tables 

Post-reception organization/clean up

These additional duties are A La Carte items, and can be added to your package for an additional fee. 

​

***Weddings on islands in Maine are individually priced due to increased logistics 

Wedding Management Package

​We'll start working together 4 months prior to your wedding date -  

​

This package includes:

  • 1 hour of ceremony rehearsal management

  • 1/2 hr.  final venue walkthrough

  • 10 hrs. of wedding day coordination (11am-9pm) (if your wedding ceremony start time is earlier than 4pm, our start and end times will be adjusted accordingly) 

  • One professional WAE wedding manager

4 Months Prior to Wedding Day -

​

  • Pre-wedding consulting meetings to discuss wedding wish list, details, tasks, etc.

  • Unlimited Email support 

  • Phone support (by appointment)

  • Set priorities, budget, goals, preferences and overall vision for wedding

  • Wedding planning checklists, advice and helpful hints

  • Collaboratively create timeline and schedule of events for wedding day

  • Confirm vendor responsibilities and services to be provided

  • guidance for ordering rental items

  • Review all detailed ceremony, wedding party and wedding management forms with couple

  • Review vendor contracts and provide guidance

Three Months Prior to Wedding Date -

​

  • Review rental order - look for gaps

  • Review wedding coordination form with couple

  • Obtain copy of ceremony from Officiant

  • Set up a conference call with your Officiant to discuss your ceremony

One Month Prior to Wedding Date- 

​

  • Review wedding coordination form with couple- ceremony details, wedding party names, reception details, etc.

  • Review and update all wedding details with couple

  • Final vendor confirmation and timeline review 

  • Contact all vendors - email our timeline and all other pertinent information to all vendors at least 1 week before your wedding

  • Verify all vendor arrival times, specific needs and contact information

  • Wedding planning checklists, advice and helpful hints

  • Collaboratively create timeline and schedule of events for wedding day

  • Confirm vendor responsibilities and services to be provided

  • Review all detailed ceremony, wedding party and wedding management forms with couple

  • Review vendor contracts

  • Review and update all wedding details with couple

  • Final vendor confirmation and timeline review 

  • Contact all vendors - introductions and timeline emailed to every vendor at least 1 week before your wedding

  • Verify all vendor arrival times, specific needs and contact information

 Ceremony Rehearsal -

  • 1/2 hr. venue walkthrough with you prior to ceremony rehearsal to show us where everything will be located for the following day

  • 1 hour of ceremony rehearsal management 

  • answer all questions

  • Confirm the set up for your ceremony, cocktail  and reception sites (we do not set the head/guest tables, however will confirm the correct set up with your catering team)  The service of setting the head/guest tables is available to add to your package for an additional fee.)

  • Set up of auxiliary tables - escort card table/seating chart, card & gift table, memory table, cake table, DJ table, guest book table

  • Set out your special décor touches

  • Keep the couple and the wedding party as close to the timeline as possible throughout the day

  • Offer our Signature "15 minutes of Bliss" to the couple

  • Ensure the day runs smoothly and without issues

  • Communicate with all vendors throughout the wedding to ensure everything is on time

Additional special services you may choose to add to any wedding coordination package:

  • Decorating services using your décor - priced per hour @$100/person/hr.

  • Setting all reception tables with linens, glasses, utensils, and napkins    ($500)

  • Setting up chairs for ceremony site  ($500)

  • Additional wedding manager for the Day of your Event ($300.00 + mileage)

  • Post reception organization and cleanup  ($300/person/hr)

  • Additional hours of wedding management and coordination ($300/person/hr) 

  • Officiant services    ($400 - if added to a wedding management package) 

  • Rehearsal Dinner Coordination ($800- 3 hrs.) 

  • Engagement Dinner Coordination ($800- 3 hrs.) 

  • Day-after-wedding brunch/breakfast Coordination ($800)

  • Greeting baskets/bags for out of town guests and distribution ~ $100/hr.

  • Welcome Gifts and Favors~ sourced locally - priced per event

  • Creating and sourcing creative gift bags, baskets, boxes, informational packets

  • and more - $100/hr

  • Bridal Shower Coordination - priced per event

  • Assistance with RSVP follow up calls - $100/hr

Special Notes:

Managing Expectations - Responsibilities and Duties 

​

As professional wedding managers, part of our job is managing our client's expectations for their weddings. Although we would love to help out in any way we can with your wedding, there are certain duties/responsibilities that we are not able to facilitate or perform for our clients. We apologize for any inconvenience. ​​​

​​​​

    • Make decisions on behalf of the client prior to your wedding

    • handle/organize rental items, except for rented table runners and décor items for tables 

    • Store décor items for your wedding 

    • transport your décor items for your ceremony, cocktail or reception. 

    • Set your dinner tables with linens, glassware, flatware, plates, etc. 

    • Make, handle or serve food, which includes but is not limited to, cake cutting & serving, plating food for guests or couple.

    • Use a ladder or step stool for any reason

    • Remove/install tent sides

    • Take florals apart from arbors, chuppahs, or any structural object 

    • Act as bartenders

    • Act as the MC or DJ for your event

    • Bus tables or remove trash during or after the wedding

    • Pick up or return tuxes or suits

    • Transport your wedding gown

    • Transport or return rentals from a rental company for your wedding

    • Install or remove chair covers or sashes (unless additional time has been contracted) 

    • transfer ceremony chairs to the reception area after the ceremony

    • Finish or complete DIY project

    • Make or arrange payments to third party vendors, especially final payments

    • Steam, iron, or press garments, table linens, napkins, etc.

    • Do heavy manual labor, including but not limited to -

      •  chair and table set up (unless wedding setup has been added to your contract) 

      •   set up and/or remove lighting

      • set up/remove arbors 

      • hang or suspend items from the ceiling or walls

    • Provide a detailed clean up of the venue post-reception (unless extra hours have been contracted one month prior to wedding) including but not limited to- 

      • sweeping

      • wiping down

      • putting tables and chairs away,

      • mopping

      • trash

      • clean up of any kind outside venue

      • bussing tables

      • cleanup of any bodily fluids (vomit, blood, urine, feces)

    • Plan or coordinate other wedding related celebrations which include, but are not limited to, rehearsal dinner, welcome party, and brunch (unless we are contracted to do so). 

    • Park cars

    • Direct guest parking

    • Coordinate/ oversee/be present at your first look- your photographer is in charge of that 

    • Handle/use electronic equipment, including but not limited to-

      • microphones

      • sound equipment

      • mixer boards

      • cameras/video cameras

      • phones

      • tablets

      • speakers

    • move anything heavier than 15 lbs.

    • transport large floral arrangements from a separate ceremony location

    • Leave the premises once we have arrived

"Best decision we made!"

Hiring Ali and Mallory at Wedding Angel Events was the best wedding planning decision that my husband Charlie and I made. They're amazing. As soon as we signed on with them, they sent us their extremely comprehensive Day-Of Coordination doc, which gave us the framework for our event, down to the tiniest, but essential, details. Then, over months of regular phone calls and emails, they expertly guided us through the process of filling it in. It was so helpful to break down the process this way! They also helped us communicate with vendors and navigate some tricky situations. When our wedding weekend arrived, it was so reassuring to go into it knowing exactly what had to be done, when, and by whom.

On our actual wedding day, Mallory was invaluable! She came at 10am and over the course of her 12-hour day, went above and beyond to ensure that everything went according to plan so that all Charlie and I had to do on Saturday was get married, without worrying about any of the other details. We definitely could not have planned or executed our wedding without the help of Ali and Mallory! They saved our sanity and made something that was initially so stressful and overwhelming more manageable. They’re also just lovely people who were a joy to speak with on a regular basis!
